Behavioral Responsibility

By booking with us, you acknowledge that you are responsible for any damage or loss incurred by you or any members of your party. In the event of such incidents, payment must be made directly to the accommodation owner, manager, or service provider at the time the issue arises. If you fail to do so, you agree to indemnify us against any resulting claims, including legal fees.

We expect all clients to act respectfully and considerately towards others. If, in our judgment or that of any relevant authority, your behavior causes distress, danger, or annoyance to others, or results in property damage, we reserve the right to terminate your booking immediately. This termination will be without notice and will absolve us of any further responsibility to you, including the provision of return transport. Additionally, we will not cover any costs or expenses that arise as a result, nor will we offer refunds or compensation.

Force Majeure

We cannot accept responsibility for any loss, damage, delays, or changes resulting from events beyond our control. Such circumstances may include, but are not limited to, acts of war, riots, civil disturbances, labor disputes (like air traffic control strikes), terrorist actions, natural disasters, nuclear incidents, fires, severe weather conditions, technical malfunctions affecting transportation, airport or port closures, and airline schedule changes.

Reconfirming Return/Onward Flights: It is essential to reconfirm your booking for outbound and inbound flights at least 72 hours before departure. We are not liable for any additional costs incurred if you fail to reconfirm your flights or if there are schedule changes.

Document Dispatch

All travel documents will be sent to the address you provided at the time of booking. Typically, these documents are dispatched approximately 7 days prior to your departure. If your booking is made within 14 days of the departure date, you may need to collect your tickets directly at the airport.

For added security, scheduled airline tickets are generally sent via Recorded Delivery, and it is your responsibility to ensure that you receive them. In cases of late bookings, documents may need to be sent via registered or courier delivery, and any applicable charges will be communicated to you during the booking process.

General Data Protection Regulation (GDPR): By consenting to this privacy notice, you grant us permission to process your personal data specifically for the purposes outlined. Consent is required for BOOKMYFLIGHTS LTD. to process personal data to fulfill your travel requirements. If we require sensitive personal data, we will explain why and how it will be used.

Online Bookings: When booking online, it is your responsibility to provide accurate information, including travel details and passenger information as it appears on the passport. We hold no responsibility for discrepancies in the information provided or entered online, and you will be liable for any additional costs incurred. Ensure that the payment card used is either your own or, if it is a third party's, that you have their express authorization. Once we accept your booking and process payment, cancellation charges apply. You will receive a confirmation email and invoice—please check the details and inform us immediately of any discrepancies. Any changes to your booking may incur additional costs, including supplier and administrative fees.

Telephone Bookings: When booking by telephone, you must provide accurate information, including passenger details as shown on their passports. You must ensure you have authorization to use the credit or debit card and that sufficient funds are available to cover the cost. A telephone booking confirmation is as binding as a written one, and once payment is processed, cancellation charges apply. Any changes to your booking may result in additional costs, including supplier and administrative fees.

Airline Ticket Amendments/Rebooking: If you wish to modify your booking, we will try to accommodate changes, subject to availability. Requests for changes must be submitted in writing by the booking holder. BOOKMYFLIGHTS LTD. will charge a £100.00 amendment fee per person plus any airline penalties, tax differences, and other applicable costs. Your rebooking is not valid until confirmed in writing by BOOKMYFLIGHTS LTD. Name changes are generally treated as cancellations by airlines, which may result in a 100% cancellation charge.

Airline Ticket Refunds: Refunds on returned tickets are subject to an administration fee of £100 per ticket. Refund eligibility is determined by the airline or consolidator according to their terms and conditions. We recommend sending tickets via special delivery, as we are not responsible for lost or mislaid documents. Refunds will not be issued until received from the airline, which typically takes 6-8 weeks.

Payments: Full payment must be made by the due date shown on your invoice. For some telephone bookings, immediate payment may be required before you receive your confirmation. Failure to make timely payments may result in cancellation of your booking, and cancellation charges will apply.

Passports, Visas, and Health Requirements

It is your responsibility to ensure that all necessary travel documents, including passports and visas, are prepared and valid. Your passport must be valid for at least six months beyond your return date. Visa and health requirements can vary significantly by destination, so it is essential to verify these details with the appropriate authorities before you travel.

We cannot accept liability for any refused entry resulting from incorrect or incomplete documentation. Please take the time to ensure that your travel papers are in order to avoid any disruptions during your trip.

Expectant Mothers: Expectant mothers beyond 28 weeks of pregnancy on their return date cannot be accommodated on flights. Consult with your doctor before flying.

Changes in Booking: Any changes to your booking, other than increasing the number of passengers, may incur a £50 amendment fee, plus any additional supplier charges. Some airlines do not allow changes after tickets are issued.

Cancellations: Cancellations before ticket issuance may incur cancellation charges. After issuance, most bookings are non-refundable. Low-cost and charter flights typically carry a 100% cancellation fee.

Baggage Allowance: Baggage policies vary by airline. Please contact the airline directly for the most up-to-date information on baggage allowances, weight, and size restrictions.

Payment and Deposit Policy

  • Non-Refundable Deposits: All deposits are non-refundable. By making a deposit, you are securing your seats, but please note that fares are subject to change by the airline.
  • Cancellation Terms: Should you decide to cancel your booking, both the deposit and any payments made will be forfeited as determined by the airline or suppliers.
  • Payment of Balance: The remaining balance of your booking must be paid by the specified due date. If payment is not received by this date, or if the airline or supplier requests earlier payment, bestairfares.uk cannot be held responsible for any cancellations or fare increases.
  • Late Payments: If payments are made late or if supplier requirements change, your booking may be canceled, or you may need to pay any fare difference to keep your reservation.
  • Financial Protection: We cater to independent travelers under the ATOL framework, ensuring the safety of your funds when you invest in our travel services. We collaborate with reputable travel suppliers and act as non-ATOL agents, utilizing their ATOL licenses to issue flight tickets on your behalf. This partnership guarantees the security of your financial investment in your travel arrangements.
  • Regulatory Compliance: In accordance with the Packaged Travel, Package Holidays, and Package Tours Regulations 1992, we are required to provide security for the payments made for packaged holidays booked with us, including repatriation in the event of our insolvency. This security is backed by a bond managed under our suppliers’ ATOL memberships. Please note that this financial protection does not apply to other holiday arrangements.
  • Jurisdiction: All contracts with us and any arising matters are governed by English law and are subject to the exclusive jurisdiction of the Courts of England and Wales. All services offered are subject to availability.
